Upgrades to GWAEA Systems for Business Applications and Employee Self-Service
Over the weekend of 6/23-6/24 there was a major upgrade to two of the Agency’s online systems: the internal finance and HR systems. There were two All-Agency emails sent on 6/25 about login information (one email for each of the two updated systems).
The Employee Self-Service (ESS) System: This is where you access the Leave & Calendar applications, as well as requests for Agency-Directed Travel and Room Scheduling. New functions and information have also been added here to allow staff to view copies of W-2 forms and paycheck or direct deposit history. The link for the ESS system is https://business.gwaea.org/cfapps/gwess/Login.cfm. Please save this new link in your favorites/bookmarks. If you go to the old links you will get a message that the software has been moved, and it will give you the new web link.
New username/password combinations have been set up for this system. Your username has been defaulted to your current GW email prefix (Ex: bharms). The password has temporarily been set to an 8-digit number – the last 4 digits of your social security number plus your 4-digit birth year (Ex: 99991962). At the first login you will then be prompted to change your password to a new one of your choosing. If you have difficulty logging in to the ESS system, please contact one of the following people for assistance:

Once you are logged in the menu options will be down the left side of the screen. Testing has been done by the programmers for these applications, but there still may be some issues with some of the new functionality. Please contact Kathy or Barb if you have questions about the new ESS system.
The Business Applications System: You can also save this new link (https://business.gwaea.org/cfapps/gwapps/) in your favorites/bookmarks. If you go to the old link you will get a message that the software has been moved, and it will give you the new web address. This is where you enter Claims for reimbursement, purchase order (PO) requests, timecards for hourly staff, and look at activity in the finance system.
Your username/password combinations for the Master Sign-on did not change and should carry over to the new software. If you have problems logging in, it may be because you were using old links for the PO, Claims or Timecard systems and had multiple passwords. If you have difficulty signing on to the Business Applications system, please contact one of the following people for assistance:

After logging in, you may see a window with the heading ‘Please update your profile’. If you do see this you should click the ‘My Preference’ link within the window. Staff should select a secret question, provide the answer and then click ‘Save changes’. This will allow you to recover your password in the future if needed.
Once you are logged in, you should see tabs across the top for applications that you previously had access to (PO, Claims, GW Finance, Human Res). Please contact Amy or Rita if you have questions about the Business Applications system.
The second session of Grant Wood AEA's College for Kids planned July 9-20
The second session of GWAEA's College for Kids is planned July 9-20 and will be held on the campus of Coe College in Cedar Rapids. Classes are planned Monday through Friday from 8:30 - 11:50 a.m.
Grant Wood AEA's College for Kids is in its 26th year of offering summer advanced level academic and fine arts courses in the college setting to eligible students in gifted & talented programs who have completed 6th, 7th or 8th grade.
Susie Green, GWAEA student programs specialist, indicated nearly 700 students will have participated in the 2012 Grant Wood AEA College for Kids and C4K STEM Academy sessions during June and July 2012.

Recycling with Rick
I hope everyone had a fun & safe 4th of July.
A question was asked recently concerning recycling bins, and got me thinking. We have multiple gray yardy bins around the building and they are for two different uses.
The ones with locks are for shredding of confidential materials and the one without locks are for recycling. There are also some recycling metal cans upstairs around the area of the meeting rooms.

Also, there are 2 areas on 1st floor for pop cans/bottles, water bottles, CLEAN plastic dishes, glass bottles that are located in both break rooms. On 2nd floor there are containers for these items located near Karen Michalec, in the break area, near the area by Lisa Becker/Jan Baburek, and by the smaller private bathrooms.
And just a reminder the refrigerators will be again cleaned on July 27. There were a few lunch bags and plastic containers left behind on the last cleaning and they are in the employee break room to be claimed.

Recycle Opportunity – Did you know every year Americans discard 1.6 million pens? Placed end to end they would stretch 151 miles. Let’s do our part to recycle unwanted pens and pencils from home and office. Pen and Pencil Donation boxes will be placed in both break rooms at Grant Wood AEA Sixth Street facility and one in the Southern facility. We will partner with Terracycle to keep these items out of the landfill.
TerraCycle's purpose is to eliminate the idea of waste. We do this by creating national recycling systems for previously non-recyclable or hard-to-recycle waste. Anyone can sign up for these programs, called the Brigades, and start sending us waste.
TerraCycle then converts the collected waste into a wide variety of products and materials. With more than 20 million people collecting waste in over 20 countries TerraCycle has diverted billions of units of waste and used them to create over 1,500 different products available at major retailers ranging from Walmart to Whole Foods Market.
Our goal is to eliminate the idea of waste by creating collection and solution systems for anything that today must be sent to a landfill.
Founded in 2001 by Tom Szaky, then a 20-year-old Princeton University freshman, TerraCycle has grown into one of the fastest-growing green companies in the world.
Writing Instruments Brigade®
Is there a limit to how many pieces of packaging I can send in?
There is no limit to the amount of Writing Instruments you can send in. However, you must ship at least 7 lbs, or about 250 writing instruments.
What kinds of writing instruments are acceptable?
We accept any brand and any size pen, pencils, mechanical pencils, wooden pencils, markers and highlighters, sharpie and dry eraser markers; just to name a few. No crayons please.
10th Annual Quota International of Cedar Rapids Charity Golf Tournament - Registration deadline is July 28
It’s that time of year again and the GWAEA Hearing Dept. is participating in the Quota Club Charity Golf Tournament scheduled for Saturday, Aug. 11.
We are actively searching for Team(s) Grant Wood AEA and any interested golfers for the charity tournament.

GWAEA Team - Especially for You® Race Against Breast Cancer
The 22nd annual Especially for You® Race Against Breast Cancer will be held on Sunday, October 7, 2012. The race begins at 8:00 a.m. This event, co-founded by Mercy Medical Center and General Mills, is held each year to help increase awareness regarding the importance of early detection and screening for breast cancer.
ALL PROCEEDS from the race are used locally to provide breast cancer screening and other support services for individuals in need.
We will once again recruit a Grant Wood Area Education Agency team. Each participant will pay for their registration fee. Registering as part of the GWAEA team does not mean you have to walk together as a group. Your individual race packet(s) will be available for pick-up at the GWAEA Sixth Street or GWAEA Southern Facility. You have the option to add a GWAEA logo to the back of the t-shirt.
This year’s race will begin on 10th Street SE instead of 8th Street. The shirts are lime green. There is a 5K run for females and males, a 5K walk for females and males, or a 1-mile Family Fun Walk. Registration fee is $25 or $20 Youth (15 & under).
